PRO-telligent, A Tetra Tech Company is seeking a Staff Assistant to support the U.S. Department of State's Bureau of Consular Affairs, Office of Overseas Citizen Services (CA/OCS).  The Staff Assistant reports to the Deputy Assistant Secretary (DAS) and Managing Director (MD) and provides both Administrative as well as Correspondence support. This position will be located in Washington, DC. 



The Administrative support includes coordinating meetings, scheduling conference rooms, maintaining calendars, ordering supplies, making travel arrangements for senior leadership, screening telephone calls, and escorting visitors. Correspondence support includes receiving all incoming correspondence (i.e. Congressional, White House, etc.), creating a tasker for each piece of correspondence, and then assigning each tasker to the appropriate CA/OCS action officer so they can draft a response. The Staff Assistant is responsible for monitoring these taskers to ensure they are completed by the deadline that is set, proofreading the response once it is received, and then providing it to the appropriate office or principal for final signature. Additional duties include compiling quarterly correspondence statistics, compiling background information for meetings/briefings, and entering and maintaining information within various databases.



  • 3 years of prior experience (USG or DOS preferred)
  • Must have a Bachelor’s degree
  • Must have a Secret Clearance or higher
  • Strong knowledge of Microsoft Office (i.e. Word, Excel, PowerPoint, Access) and SharePoint
  • Prior experience with the Department of State's travel system - E2 Solutions - is preferred
  • Excellent organizational, communication, and writing skills
  • Excellent customer services skills including ability to anticipate senior leadership needs
  • Ability to interact effectively with others within the CA Bureau and across the interagency
  • Strong problem-solving and decision-making capabilities
  • Ability to meet deadlines in a fast-paced environment
  • Ability to exhibit a pleasant, professional demeanor at all times
  • Ability to work independently or within a team
  • Ability to remain calm under pressure
