Position Summary:
The Project Assistant provides administrative and project support to engineering and construction teams. This role is responsible for preparing and maintaining project documentation, coordinating communications, supporting meetings, and assisting with construction-related paperwork to ensure projects run smoothly and efficiently.

Essential Job Functions:
The following duties are considered essential to the role. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions:

  • Create and modify documents including specifications, bid/construction documents, correspondence, forms, and reports
  • Develop and maintain documents and spreadsheets in accordance with company standards using Microsoft Word and Excel
  • Attend design and construction project meetings; record, prepare, and distribute meeting minutes
  • Maintain organized electronic project files and records
  • Copy, scan, and distribute reports, documents, and drawings as needed
  • Communicate with contractors and project stakeholders via Outlook and/or project management software to process construction-related documentation
  • Provide backup support for switchboard operations as needed
  • Perform work in accordance with internal procedures, applicable legislation, and industry standards
  • Support continuous professional development and maintain awareness of industry practices
  • Promote a culture of safety by working safely at all times and reporting any health and safety concerns
  • Perform additional duties as required to support project and team needs

Required Qualifications:

  • High School Diploma with 5–10 years of office experience
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Access (2016)
  • Excellent communication and interpersonal skills
  • Active and clear driver’s license, including a successful clearance of a Motor Vehicle history check.

Preferred Qualifications:

  • Experience in the Architecture/Engineering (A/E) or Construction industry

Physical Requirements:

  • Ability to remain in a stationary position (sitting or standing) for extended periods while performing computer-based tasks and attending meetings
  • Frequent use of hands and fingers to operate computers, printers, and other office equipment.
  • Visual acuity to review detailed documents and computer screens for extended periods.
  • Ability to clearly communicate in person, via phone and through written correspondence. 
  • Physical capability to walk, stand, climb stairs or ladders, and navigate storage spaces. 
  • Ability to occasionally lift and carry materials or equipment weighing up to approximately 25 pounds.

Work Environment / Environmental Factors:

  • The full extent of work is performed in a professional office setting with a collaborative, team-oriented atmosphere.
  • This role requires frequent interaction with project teams, clients, consultants, and/or other stakeholders through in-person meetings, video conferences, and phone calls.
  • The position requires adaptability to shifting project priorities, client expectations, and multidisciplinary coordination.
  • Work may occasionally involve tight deadlines, multiple concurrent projects, and high attention to detail under time-sensitive conditions.
  • Collaboration across multiple time zones or with remote team members may be necessary, depending on project scope and firm structure.

Additional Information:

  • This is an in office, full-time, regular position, with typically standard working hours between 8am – 5pm, Monday through Friday. However, this position may require occasional extended hours to meet project milestones, deadlines, or client needs.

Anticipated Hiring Range: 

  • $25.00 - $27.00. Please note that this range reflects the pay scale that Tetra Tech reasonably expects to pay for the role. The salary will also depend on various factors, such as job duties and requirements, and relevant experience and skills.
