The Opportunity
Tetra Tech is looking for a part-time Office Administrator based in our Chicago, IL location. 

 

Position Summary
This is a part-time (24 hours) in-office role requiring the ability to be on-site each day.

The selected candidate will be responsible for assisting the Operations Manager, Supervisors and Project Managers with administrative duties related to their selective projects. This role will also oversee all administrative processes and office operations of our Chicago office and provide administrative support for satellite offices assigned to the Chicago office.

 

Essential Job Functions

The following duties are considered essential to the role. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions:

  • Administrative support which includes managing the front desk, office equipment, ordering supplies and other administrative responsibilities.
  • Coordinate preparation and organization of multiple documents and other deliverables according to internal and external client requirements and schedules.
  • Manage inventory of IT equipment.
  • Reserve and prepare conference rooms for meetings.
  • Enter work orders and visitor information in building management system.
  • Communicate building management messages to office staff.
  • Schedule services with vendors for office.
  • Provide human resources assistance, including but not limited to:
    • Review resumes
    • Schedule interviews
    • Prepare offer letters
    • Conduct phone screens
    • Order sympathy flowers
    • Provide pre- and onboarding support for new employees
    • Organize office events
    • Other administrative/project tasks as assigned

Required Qualifications

  • High School Diploma

  • 1-3 years of experience

  • Ability to effectively communicate with all levels of management and peers.
  • Exceptional organizational skills with good judgment and follow through.
  • Capability to work under pressure and prioritize time effectively.
  • Ability to handle multiple tasks and meet deadlines while maintaining a high level of integrity and confidentiality especially matters concerning business and staff.
  • Individual drive and initiative with the aptitude to maintain under minimal supervision.
  • A professional disposition and a positive attitude.
  • Self-starter and be able to work as part of a team.
  • Flexible, able to immediately adapt to changing priorities.
  • Excellent customer service skills.
     

Preferred Qualifications

  • Bachelor's Degree Preferred.
  • Familiarity with Microsoft Teams.
  • Strong proficiency with Microsoft Word and Excel.

     

  • Proficiency with Adobe Acrobat PDF.


Physical Requirements

  • Ability to lift up to 25 pounds occasionally such as boxes of paper.
  • Prolong periods of sitting or standing at a desk and using a computer.

 

Work Environment / Environmental Factors

  • The work environment is 100% in-office.

 

Additional Information

  • The schedule for this part-time position is in-office Monday – Friday; minimum 24 hours per week.
  • Additional hours in office may be required during office events or trainings.

The rate of pay for this position is $24.00 - $28.00 per hour, depending on education, experience, skills, and location.
