The program

Australia Awards Indonesia (AAI) is managed by Tetra Tech on behalf of the Department of Foreign Affairs and Trade (DFAT). Australia Awards is an integral part of Australia's development cooperation program with Indonesia and has enjoyed strong support from both governments for more than sixty years. Australia Awards addresses two key challenges: to fill a gap in the pool of individuals with the higher-level capacity to contribute to Indonesia's development; and the need for a strong deep relationship based on mutual understanding between Australia and Indonesia.


The role

The Logistics Coordinator supports Australia Awards Indonesia by coordinating endtoend travel, mobilization and event logistics that enable effective program delivery. The role arranges compliant, valueformoney international and domestic travel, manages mobilization for scholars and participants, and organizes venues, transport and accommodation for events. It maintains accurate logistics records, reconciles vendor invoices, liaises with Finance and Operations, and provides participant briefings on risk and policy. Working with DFAT, universities and service providers, the coordinator strengthens efficiency, inclusivity, safety and continuous improvement in travel and logistics systems.


Key responsibilities

·       Coordinate international and domestic travel, itineraries, accommodation and insurance for scholars, alumni, advisers and staff

·       Manage mobilization logistics for long‑term scholars, short‑course participants and special delegates

·       Organize in-country event logistics: venues, catering, transport and participant accommodation

·       Maintain accurate travel and logistics records, update databases and support reporting

·       Reconcile vendor invoices, support travel‑related financial processing and coordinate procurements with Operations/Finance

·       Provide participant briefings on travel, risk management and policy compliance; escalate complex issues and improve logistics systems

 Selection criteria

·       Tertiary qualifications in logistics, business administration, operations, travel management or equivalent experience

·       Experience coordinating international/domestic travel and mobilization in complex programs

·       Proven experience managing event logistics and stakeholder coordination

·       Skilled in record‑keeping reconciliation and supporting travel‑related financial processes

·       Strong organizational, problem‑solving and communication skills; ability to brief stakeholders on risk and compliance

·       Service‑oriented, calm under pressure, detail‑focused and committed to participant safety, inclusion and continuous improvement
