Position Summary:
HUMAN RESOURCES ADMINISTRATIVE ASSISTANT
Support day-to-day Human Resources operations, including recruiting, onboarding, training coordination, recordkeeping, and administrative projects. This role requires strong organization, attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced office environment.

· Support recruitment and onboarding processes, including preparing job postings, maintaining applicant tracking information, preparing offer letters, conducting reference and background checks, and scheduling pre-employment screenings.
· Maintain and track training attendance, meeting participation, quizzes, audits, inspections, and other HR-related records.
· Prepare, organize, and update orientation materials and other documents for new hires.
· Create, maintain, and update Excel spreadsheets used to track HR activities, employee information, training, attendance, and compliance-related data.
· Use Excel formulas, conditional formatting, sorting, filtering, and other tools to organize data, identify missing or inaccurate information, and improve reporting efficiency.
· Prepare, format, and update documents using Microsoft Word and Adobe PDF. Convert documents into professional, fillable PDF forms and maintain existing PDF forms as needed.
· Assist with departmental projects, internal audits, document reviews, and process improvements.
· Create and maintain accurate, organized, and up-to-date electronic and paper filing systems.
· Review documents and data for accuracy, completeness, consistency, and proper formatting.
· Perform additional administrative duties as needed to support Human Resources operations and ensure projects are completed accurately and on time.
· Maintain regular, reliable attendance and punctuality, which are essential functions of this position.
Required Qualifications:
· Minimum of one year of administrative support experience, preferably in Human Resources or a related field.
· Some college coursework preferred.
· Typing speed of at least 40 words per minute with a high degree of accuracy.
· Proficiency with Microsoft Word, Excel, Outlook, and Adobe PDF.
· Working knowledge of Excel formulas, conditional formatting, sorting, filtering, spreadsheet organization, and basic data analysis.
· Ability to create, format, convert, and maintain professional fillable PDF forms.
· Strong attention to detail and the ability to identify errors in documents, spreadsheets, and records.
· Exceptional organizational skills with strong follow-through and the ability to manage multiple priorities.
· Excellent written and verbal communication skills, with the ability to handle confidential information with discretion.
· Self-motivated, dependable, and able to work independently while contributing effectively to a team.
· Ability to work at the company’s office location during regular business hours.
Preferred Qualifications:
· Bilingual in English and Spanish preferred.
· Experience creating or maintaining fillable PDF forms using Adobe Acrobat or similar PDF software.
· Experience using Excel formulas, conditional formatting, data validation, tables, templates, or basic task automation.
· Customer-service oriented with strong interpersonal and relationship-building skills.
· At least one year of administrative experience; prior Human Resources or office support experience strongly preferred.
Physical Requirements:
- Ability to sit and work at a computer for extended periods, with frequent computer use and verbal communication.
Work Environment / Environment Factors:
- Standard office environment
- In-office presence is required Monday through Friday during posted business hours. Occasional extended hours may be required to meet business needs.
