The program
Australia Awards Indonesia (AAI) is managed by Tetra Tech on behalf of the Department of Foreign Affairs and Trade (DFAT). Australia Awards is an integral part of Australia's development cooperation program with Indonesia and has enjoyed strong support from both governments for more than sixty years. Australia Awards addresses two key challenges: to fill a gap in the pool of individuals with the higher-level capacity to contribute to Indonesia's development; and the need for a strong deep relationship based on mutual understanding between Australia and Indonesia.
The role
The Finance Coordinator supports day-to-day financial operations for Australia Awards in Indonesia, ensuring transactions, records and reporting are accurate, timely and compliant with DFAT and Tetra Tech policies. The role provides hands-on coordination for invoicing, payments, advances, acquittals, reconciliations and cash management, compiles financial data from sub-teams, and maintains complete, audit-ready records. Working with the Finance & Operations Manager and program teams, the Coordinator supports budget monitoring, cash-flow tracking and routine reporting, enables timely processing of travel, event and operational costs, and strengthens internal controls to deliver value across the program.
Key responsibilities
· Process invoices, payments, advances, petty cash, reconciliations and acquittals per DFAT/Tetra Tech standards
· Compile weekly finance requests from sub-teams for Finance Manager approval
· Prepare and submit tax refund claims to DFAT, copying the Finance Manager
· Maintain accurate, complete, audit-ready financial records and timely system entries
· Support budget monitoring, cash-flow tracking and regular financial reporting
· Coordinate travel, logistics and event payments; ensure compliance with procedures, audits, BAST and tax requirements while advising staff
Selection criteria
· Tertiary qualification in accounting, finance, business administration or equivalent experience
· Proven experience in day-to-day financial operations: invoicing, payments, advances, acquittals and reconciliations
· Skilled in maintaining accurate, audit-ready financial records and entering transactions into finance systems
· Experience supporting budget monitoring, cash-flow tracking and routine financial reporting
· Strong knowledge of accounting principles, compliance (tax, BAST), internal controls, and proficiency in Excel/financial systems
· Highly organised, detail-oriented, confidential, service-focused with clear communication and ability to support colleagues
