Summary

The Contracts Administrator supports the project management, operations, accounting, and business development teams through legal review and coordination of contracts, master service agreements, subconsultant agreements, task orders, Requests for Proposals (RFP), sample contracts, and other contractual agreements. The Contracts Administrator must have an ability to parse complex contractual language, identify risk, and assist with negotiating mutually agreeable agreements and mitigations to risk while maintaining client relationships. The Contracts Administrator is responsible for all phases of contract administration, shall be capable of working independently, and will have proven contract administrator experience with complex, multi-phase, multi-million-dollar design and construction projects in both commercial/institutional and government contracting.

 

TYPICAL DUTIES:

  • Review and coordination of contracts, master service agreements, subconsultant agreements, task orders, RFPs, sample contracts, and other contractual documents and agreements
  • Identify and assist in limiting and mitigating risk in contract language and agreements
  • Lead or participate in the negotiation of prime and subcontract terms and conditions and preparation of prime and subconsultant contracts and agreements
  • Work with the accounting team to ensure adherence to finance and risk requirements
  • Advise, interpret, and consult on all matters associated with contract requirements
  • Review RFP or solicitation request requirements to ensure company response is aligned
  • Track contractual requirements such as escalation, invoicing requirements, required forms and filings, process for additional service authorization, critical dates, insurance requirements, etc.
  • Coordination of proposed/required insurance coverage requirements
  • Review of government contracts to ensure compliance and compensation are managed and coordinated
  • Work directly with Project Managers on significant contract matters and help ensure project is delivered in compliance with contractual terms requirements
  • Assist as needed in the project setup process to align with contract requirements
  • Prepare, administer, review, and assist with nondisclosure agreements as may be required
  • Administer and maintain contracts from receipt of solicitation through contract performance to contract close-out
  • Perform other duties as assigned

 

RELATIONSHIP TO OTHERS:

  • The Contract Administrator will report to Director of Operations or Operating Unit Controller.
  • Collaborates respectfully and communicates effectively with all project team members, including corporate enterprise risk management, operations, project managers, managing and regional directors, accounting, and business development.

 

KNOWLEDGE AND EXPERIENCE:

  • Ten plus years of experience administering contracts ($500K or higher) with skills in contract management, risk mitigation, and negotiations within the Architecture/Engineering/Construction (AEC) industry
  • Experience in project delivery methods including Design-Bid-Build, Design-Build, Design-Assist, and all contract/compensation structures (Fixed Fee, T&M NTE, T&M, Cost Plus, Fixed Fee, etc.)
  • Bachelor of Arts/Science Degree in related field such as Law, Communications, English, etc. is preferred; legal or paralegal studies could also be suitable; a degreed/practicing attorney is not required
  • Excellent oral and written communication skills with an in-depth knowledge of the nuances of legal terminology
  • Experience in establishing and maintaining professional relationships with both internal and external clients
  • Experience in prioritizing time and workload and flexibility to adapt to changing requirements to meet deadlines
  • Detail oriented, results focused, and highly organized
  • Software skills including Excel, Word, and Outlook
