We are currently seeking an enthusiastic, motivated, detail-oriented person to provide Administrative Assistant support to project managers for natural resource permitting projects in the Rocky Mountain Region.  The position will require detailed accounting and cost tracking of multi-million-dollar projects with multiple tasks and subtasks.  These projects are in various stages of completion and the position will work closely with the current project and program managers associated with these projects.  The ideal candidate will have demonstrated similar experience with large, complex projects.

 

Responsibilities:
Much of the project work consists of natural resource support for energy and mineral resource permitting and management as well as some residential and commercial development.  The ability to multi-task to meet short term deliverables will be required as will the ability to take direction from multiple project managers.  In addition, the position will require the ability to:

•    Organize, manage, and prepare project administrative records.
•    Assist in project controls functions for multiple projects including budget tracking, monthly invoices and progress reporting and preparing invoice backup.
•    Assist in the review and editing of technical documents.
•    Communicate to project team members and clients regarding schedules, budgets, and objectives of the project. 
•    Assist in office accounting, process accounts receivable and accounts payable invoices.
•    Assist in expense reporting for staff and reviewing expense reports for accuracy.
•    Assist project managers in project controls using Oracle.
•    Provide notetaking and prepare meeting note summaries. 
•    Assist in preparing proposals and business development materials.
•    Assist in coordinating office events.
•    Handle general office administrative tasks as assigned (i.e., process mail and packages, project deliverable production, photocopies and scans, prepare FedEx and USPS outgoing mail, etc.).
•    Assist with office supply inventory as needed.
•    Assist with ordering or picking up food for on- and off-site meetings, office events, and activities

 

Requirements:
•    A Bachelor's degree or similar, in accounting, business, marketing or closely related field is desired.  
•    3 to 5 years of relevant work experience is desired.
•    A strong understanding of accounting tools is a must.  
•    Proficiency in Word and Excel is a must.  
•    A working knowledge of Oracle would also be beneficial.  
•    Need to be able to quickly understand and gain knowledge of project administration pertaining to environmental projects. 
•    Able to work independently to finish tasks and projects on schedule, within budget, and to an exemplary level of quality.
