Administrative Assistant – Portland, OR

- A strong understanding of accounting tools is a must.
- Need to be able to quickly understand and gain knowledge of project administration pertaining to environmental projects.
- Strong front office presence is required for employees, clients and visitors.
- Strong time-management and organizational skills that reflect ability to perform & prioritize multiple tasks seamlessly with attention to detail.
- Handle general office administrative tasks as assigned (i.e., process mail and packages, project deliverable production, photocopies and scans, prepare FedEx and USPS outgoing mail, etc.).
- Report formatting/word processing using Microsoft Office Suite, Adobe and/or Nuance according to corporate and client style guides. Reproduction of large documents such as preparing proposals and business development materials.
- HR liaison to assist with I-9 verification and new hire preparation and orientation.
- Assist with data entry (spreadsheets, databases, etc.).
- Records management and document controls per company standards.
- 50 – 60 wpm typing required.
- The physical demands of this position require the ability to perform moderate lifting of office supplies, generally less than 30 pounds.

- File and assist with general office organization, maintaining inventory of office supplies.
- Assist in coordinating office events, including ordering or picking up food for on-and off-site meetings, office events, and activities.
- Facilities liaison coordinate with building management to ensure issues are addressed and resolved promptly, plan and execute all office moves.
- Point of contact to resolve power, IT, server, phone and TetraLinx outages.
- Must have excellent interpersonal and oral communication skills.
- Local Xerox liaison for leases agreements; IT liaison.
- Supervise and/or coordinate the office inventory of equipment and supplies with purchase requisitions as needed.
- Must be willing to drive on occasion for general office support and some project support.
- Demonstrate professional customer/client services at the highest level.
- Perform well-developed problem-solving abilities.
- Strong in Microsoft applications (outlook, Excel, Word, PowerPoint).
- Strong knowledge of commonly used office practices, procedures and concepts.
- Follow through on tasks to successful completion.
- Ability to work in a team environment, as well as work independently. Assist in the review and editing of technical documents.
- Communicate to project team members and clients regarding schedules, budgets, and objectives of the project.
- Assist in office accounting, process accounts receivable and accounts payable invoices; leading the invoice process to ensure invoice requirements are met.
- Perform expense reporting for staff and review reports for accuracy.
- Assist project managers in project controls using Oracle.
- Provide notetaking and prepare meeting note summaries.
- Other duties as assigned (i.e., scanning, copying, ordering supplies including preparing requisitions, stock supplies, process invoices, prepare offices, etc.).
- Willing to obtain Oregon Notary license.
