Tetra Tech Inc. is currently seeking multiple Administrative Assistants for a disaster recovery infrastructure and revitalization program in Puerto Rico. The successful candidate will have experience with federal program compliance and extraordinary attention to detail. The candidate will be responsible for functions assigned to him/her under the supervision of the Program Manager.

Responsibilities

  • Collecting, entering, tracking, and maintaining confidential and time sensitive data
  • Answering phone calls
  • Scheduling and calendar management
  • Maintain documentation of correspondences
  • Support all project staff with various administrative duties
  • Researching CDBG-DR regulations and PRDOH guidance as needed
  • Work with Project Manager and other key staff to ensure accurate and timely completion and submit of reports and other documentation
  • Meet time constraints and client expectations of the timing of deliverables

 

The candidate should have the following qualifications:

  • Bachelor’s degree or higher education from an executive secretarial or business school
  • At least four (4) years of experience working with federal programs
  • Fluent English and Spanish, with strong verbal and written communication skills
  • Excellent writing ability

The preferred candidate will also have:

  • Extraordinary attention to detail, strong organizational skills, and customer focus
  • Ability to manage several tasks simultaneously; set priorities and plan work to meet deadlines
  • Ability to identify problems and develop solutions, working well in a team environment
  • Ability to follow established procedures
  • Proficiency in use of computers and software appropriate to this position, including Microsoft Excel and Teams.
  • Ability to work attentively with minimal supervision and set priorities
  • Workdays in excess of 8 hours and/or weekend attendance may be required
  • Prior experience with CDBG-DR or similar funded projects
  • Ability to learn new software programs as necessary
