Position Summary:
Under the supervision of the Director of Administration & Finance, the Project Coordinator will support coordination and communication across multiple project teams. This role helps ensure smooth collaboration between the Technical, Monitoring & Evaluation (M&E), Communications, Grants, and Operations teams. Assists in tasks related to grant preparation, milestone tracking, reporting, and documentation management, M&E events logistics requirements including updating the M&E system, and other general cross-cutting tasks.
Essential Job Functions:
The following duties are considered essential to the role. Reasonable accommodation may be made to enable individuals with disabilities to perform these essential functions:
• Support coordination between the Technical Team, M&E Team, Communications Team, Grants Team, and Operations Team to ensure alignment and smooth information flow.
• Assist in organizing meetings, preparing agendas, documenting action points, and following up on deliverables across teams.
• Support internal coordination to ensure activities and timelines are communicated and tracked effectively.
• Assist in drafting, editing and proofreading grant materials including technical scopes, Milestone tables, Negotiation memoranda, briefs, and other deliverables as needed.
• Assist in reviewing and editing grant applications and supporting documents ensuring alignment with project grants guidelines.
• Support tracking of grantee, consultant, and subcontractor milestone schedules.
• Update the project’s comprehensive dashboard and milestone tracking tools to ensure accurate and up-to-date information.
• Monitor upcoming deliverables and deadlines and flag potential delays to relevant teams.
• Assist technical teams in tracking deliverables, feedback cycles, and invoice submissions linked to milestones.
• Support documentation and organization of project files and supporting materials.
• Assist with compiling information and materials needed for internal reports, presentations, and project documentation.
• Support preparation of internal coordination summaries and tracking sheets.
• Perform other duties as may be reasonably assigned by the immediate supervisor.
Required Qualifications:
• Bachelor’s degree in business administration, International Development, Public Administration, Economics, Communications, or a related field is required.
• A minimum of 3 years of work experience in project coordination or development programs.
• Strong organizational and coordination skills.
• Strong writing, editing, and proofreading skills in English.
• Ability to manage multiple tasks and meet deadlines with strong attention to detail.
• Strong interpersonal and communication skills.
Work Environment / Environmental Factors:
• This position is full-time and generally follows a standard business schedule; however, extended hours, early mornings, evenings, weekends, or overtime may be required based on project needs and deadlines.
Additional Information
• This is a full-time (FT) position based in Amman, Jordan. The standard work schedule is Sunday to Thursday.
