The program

Aus4Skills Phase 3 is a ten-year DFAT-funded program partnering with the Government of Vietnam to strengthen bilateral ties by supporting Vietnam’s human resource development priorities. Focused on higher education, the Vietnam Australia Centre, and vocational education and training (VET), the program builds workforce-ready, inclusive, climate-adaptive skills, public sector leadership, and alumni networks. It targets gender equality, disability and social inclusion, and support for disadvantaged Australia Awards students. Outcomes include stronger Australia–Vietnam strategic partnerships, enhanced public sector leadership and women’s advancement, and industry-aligned VET that meets labour market needs while promoting social equity and sustainable growth.


The role

The Human Resources & Administration Officer will support the Manager Finance and Administration with HR and office administration requirements, including front desk reception, arranging and preparing documents for meetings, assisting in onboarding new staff, procurement and contacting of local service providers, making hotel bookings and travel arrangements, and providing logistics and administrative support in delivering Aus4Skills activities.


Key responsibilities

  • Provide front-desk and day-to-day office administration, including calls, mail/email management, ordering supplies, and maintaining office safety.
  • Arrange travel and logistical support for staff, consultants and government visitors (flights, accommodation, transport, event logistics).
  • Provide HR support: maintain records and timesheets, assist recruitment, coordinate training, and support performance review processes.
  • Manage asset, inventory and vendor records (office furniture/equipment, pre‑approved supplier register, VAT refund list).
  • Support office payments and finance processes: collect/check invoices, process routine payments, and liaise with Senior Finance Coordinator and bank.
  • Maintain relationships and provide protocol support for Vietnamese government bodies and consular/legalisation matters.


Selection criteria

  • Diploma or bachelor’s degree in Business Administration, International Development, or related field.
  • Minimum 1-year relevant experience in office administration, reception, or HR support (donor/international program experience desirable).
  • Strong written and verbal English and Vietnamese communication skills, including business correspondence.
  • Proven ability to manage multiple tasks, meet tight deadlines, and prioritise workloads effectively.
  • Proficient with Microsoft Office (Excel, Word, Outlook, PowerPoint) and basic database/office systems.
  • Collaborative, self‑motivated, adaptable, and detail‑oriented with strong problem‑solving skills.
