The opportunity
Aus4ASEAN Futures is a major Australian investment supporting ASEAN’s Political-Security, Socio-Cultural, and Economic Communities. Embedded within the ASEAN Secretariat, the program helps strengthen regional cooperation, inclusive growth, resilience, and a peaceful, prosperous ASEAN. Tetra Tech has been appointed by the Department of Foreign Affairs and Trade (DFAT) as the Managing Contractor for the Technical Services and Support Program (TSSP) to support Aus4ASEAN Futures. The Program is a 5-year investment, in addition to the Australian investment in the trust fund. TSSP offers technical and operational services to the PPMSU and the Australian Mission to ASEAN.
The Events Gateway Lead will provide senior coordination and oversight for complex events, travel, and logistics under TSSP. Acting as the main point of contact between the client, internal teams, and delivery partners, the role ensures requests are translated into clear operational plans and delivered efficiently, accurately, and to a high standard. The role also leads and supports a team responsible for event delivery, quality assurance, and logistics management.
Key responsibilities
The Events Gateway Lead will be responsible for:
- Leading the strategic coordination of event, travel, and logistics services
- Managing client requests and translating them into operational plans, budgets, schedules, and workflows
- Overseeing the end-to-end delivery of events, workshops, delegations, and related activities
- Ensuring travel and logistics arrangements are accurate, cost-effective, and compliant with organisational and donor requirements
- Monitoring and supporting the delivery of Tasking Notes and related activity outputs
- Supervising and developing a team including the Activity and Quality Manager, Travel and Logistics Manager, Events Delivery Coordinator, and Travel and Logistics Assistant
- Driving quality assurance, process improvement, and continuous improvement across delivery systems
- Coordinating closely with the Team Leader and Operations Lead on planning, risk management, reporting, and performance oversight
- Ensuring strong compliance with DFAT, Tetra Tech, and program policies, including procurement, duty of care, PSEAH, child protection, and other safeguarding requirements
About You
- Tertiary qualifications in public policy, international development, economics, or a related postgraduate field
- Minimum 10 years’ experience in international development, preferably on government-funded programs
- Experience in DFAT-funded programs is desirable
- Experience working with the ASEAN Secretariat and/or multiple ASEAN Member States is desirable
- Strong leadership and project management capability
- Demonstrated experience in team supervision, work planning, and capacity development
- Excellent stakeholder engagement and communications skills
- Strong written and verbal English communication skills
- Ability to draft, review, and edit quality written outputs
- Knowledge of DFAT reporting and quality standards
- Working knowledge of Australian Government policies and procedures, including procurement, grants, PSEAH, child protection, and related safeguards
