The program

Aus4Skills Phase 3 is a ten-year DFAT-funded program partnering with the Government of Vietnam to strengthen bilateral ties by supporting Vietnam’s human resource development priorities. Focused on higher education, the Vietnam Australia Centre, and vocational education and training (VET), the program builds workforce-ready, inclusive, climate-adaptive skills, public sector leadership, and alumni networks. It targets gender equality, disability and social inclusion, and support for disadvantaged Australia Awards students. Outcomes include stronger Australia–Vietnam strategic partnerships, enhanced public sector leadership and women’s advancement, and industry-aligned VET that meets labour market needs while promoting social equity and sustainable growth.


The role

The Coordinator Alumni and Higher Education is primarily responsible for actively supporting the Higher Education and Engagement team in the implementation of effective alumni engagement and higher education (HE) support activities for Aus4Skills. Activities include administration of Australian Alumni Grant Fund (AAGF), coordinating alumni and HE activities as well as providing cross-functional support to the Scholarships team as required.  The role will also provide surge support across other Aus4Skills components when needed.

The position operates under the direction of the Manager Higher Education & Engagement and works in close collaboration with the Senior Coordinator Alumni Engagement and other team members.

 

Key responsibilities

  • Support planning and delivery of alumni engagement activities, events and annual workplans in line with program objectives and policy requirements.
  • Assist with administration of the Australian Alumni Grants Fund, including grant rounds, eligibility screening, agreements, payments, acquittals and financial records.
  • Coordinate higher education engagement activities, including research exchanges, short courses, fellowships, academic events and institutional linkages.
  • Provide logistical and administrative support for stakeholder meetings, reporting requirements and budget tracking.
  • Manage alumni communications and outreach, respond to enquiries, and contribute to alumni stories, promotional activities and data collection.
  • Support scholarship-related activities as needed, financial administration, and continuous improvement, including inclusive practice across alumni activities.

 
About You

  • Relevant tertiary qualification in a related field, or equivalent professional experience.
  • Experience in project coordination, grant management, alumni engagement, capacity development, or a related area, preferably with a minimum of 3 years professional experience.
  • Demonstrated experience planning and delivering a range of events and activities, with creativity and innovation.
  • Strong digital and administrative skills, including MS Office, databases, and ability to learn new systems quickly.
  • Excellent communication and interpersonal skills in both Vietnamese and English, with strong attention to detail.
  • Ability to work collaboratively, manage competing priorities, problem-solve independently, and support inclusive practices including GEDSI.
