Australia Assists is an Australian Government program that deploys skilled humanitarian specialists to support multilateral agencies, governments, civil society and communities to prepare for, respond to, and recover from disasters and conflict. Australia Assists’ Goal is to: Save lives, alleviate suffering, and maintain human dignity during and in the aftermath of conflict, disasters and other humanitarian crises, and strengthen preparedness for the occurrence of such situations. The program’s Objective is: Targeted deployment of humanitarian expertise that meets the priorities and needs of Australia's multilateral, bilateral and civil society partners and advances Australia's international humanitarian priorities.

The Role:
The Recruitment and Readiness Coordinator plays a key role in building and sustaining a high-quality, diverse, and deployment-ready roster of humanitarian specialists for the Australia Assists program. The role coordinates end-to-end recruitment processes, ensures the accuracy and effectiveness of the Roster Management System, and supports workforce planning and readiness across the program.
Working closely with the Human Resources Manager and the Program Team, the Coordinator contributes to both strategic and operational talent management, enabling timely and effective mobilisation to meet the evolving needs of Australia Assists’ partners. The role also provides essential HR administrative support, enhances candidate experience and engagement, and drives continuous improvement in recruitment and readiness practices, with a strong focus on inclusion, data integrity, and compliance with Tetra Tech and donor requirements.
Key Responsibilities:
- Manage and continuously improve the Australia Assists Roster Management System, ensuring data accuracy, functionality, and readiness for deployment.
- Coordinate end-to-end roster recruitment processes, from application review and onboarding through to profiling and ongoing roster maintenance.
- Ensure the integrity, security, and compliance of roster and personnel data through regular audits, verification, and quality assurance processes.
- Build and maintain a diverse, high-quality, and deployment-ready talent pipeline, with a strong focus on inclusion and underrepresented groups, particularly within the Pacific region.
- Lead end-to-end recruitment for deployments, including job design, advertising, candidate assessment, interview coordination, and selection.
- Conduct all required due diligence and compliance checks in line with Tetra Tech policies and donor requirements.
- Support workforce planning, mobilisation, and demobilisation activities in collaboration with the Program and Deployments teams to ensure timely and effective placements.
- Develop strong, professional relationships with roster members, fostering engagement, readiness, and a positive candidate experience.
- Produce routine and ad hoc reporting on roster composition, recruitment trends, and workforce capacity for internal and donor reporting.
- Drive continuous improvement across recruitment, readiness, and HR administrative processes, including the development and maintenance of standard operating procedures.
- Provide high-quality HR administrative support, ensuring compliance with organisational policies, donor requirements, and relevant employment legislation.
Selection Criteria
- Tertiary qualifications in Human Resources, Business Management, Business Administration, or a related field, or equivalent experience.
- Minimum 3 years’ experience in human resources, personnel coordination, or similar roles, ideally within international development or humanitarian programs.
- Proven experience coordinating end-to-end recruitment campaigns and managing candidate or talent management systems.
- Strong understanding of recruitment practices, including developing recruitment strategies and delivering complex talent acquisition campaigns.
- Demonstrated ability to build and maintain professional relationships with candidates, staff, and stakeholders, with excellent communication and influencing skills.
- High level of cultural awareness and ability to work effectively in multicultural environments, integrating gender equality and inclusion principles into recruitment practices.
- Strong attention to detail, organisational skills, and ability to follow robust policies and procedures while managing high-volume or complex recruitment tasks.
